About this notice

This notice explains how myscentwardrobe.com (ScentWardrobe, “we”, “us”) handles personal information when you browse, create an account or use our fragrance tools. For privacy questions or requests, email contact@myscentwardrobe.com.

Information you provide

We collect the public name, email address and password information you provide when creating an account. Passwords and recovery codes are stored as cryptographic hashes, rather than readable passwords. Your email address is private. Password-account emails are not automatically verified; password recovery uses a recovery code.

Your account can store saved fragrances, rankings, ownership and wish-list choices, scent preferences, notes to avoid, diary entries, moods, reviews, votes, challenge responses and shared collection snapshots. Please do not enter sensitive health information or other people’s private details.

If you email us, we receive your email address and message. The contact page prepares a message in your own email app; it does not submit or store the message through the website form.

Why we use information

We use account details and the information you choose to save to provide your requested account, wardrobe, community and recommendation features. Our lawful basis for these requested services is performance of our agreement with you.

We use necessary technical information to secure the service, prevent abuse, investigate problems and respond to enquiries, based on our legitimate interests in operating a safe, reliable service. We may also process records to meet applicable legal obligations. Optional embedded video connections require your choice to allow them. Creating an account does not subscribe you to marketing emails.

Recommendations and public sharing

Recommendations use fragrance information and your saved choices to suggest scents and occasions. These suggestions do not make decisions with legal or similarly significant effects about you. You can change your preferences or browse without an account. Avoided notes are a preference, not an allergy check.

Your wardrobe, diary and private preferences are not public profile pages. Reviews display your public name, rating, review and dates. Community vote totals are public. When you deliberately share a collection or challenge, anyone with the link may be able to view it. Copies downloaded or posted elsewhere cannot be recalled by deleting the original.

Browser storage and technical data

Essential browser storage supports sign-in and remembers the settings and tools you request. Hosting services may process IP addresses, browser information, requested URLs, timestamps and diagnostic or security records to deliver and protect the service.

We do not currently run advertising pixels or audience-analytics trackers. Optional YouTube playback remains off until you allow it. Your video choice is remembered for up to 180 days on that browser. Use “Privacy & storage settings” in the footer to change it. See Cookies & browser storage for more information.

Services that process information

Render provides website hosting and the account database. The account database is configured in Frankfurt; content delivery and provider operations can involve other countries. GitHub stores the website source code, not the member account database.

Google Fonts receives connection information when fonts are requested. If you choose embedded videos, YouTube receives connection and playback information under its own privacy policy. Google sign-in, if enabled, supplies your name and verified email; it does not give us access to your inbox.

Contact email is forwarded using ImprovMX to our support inbox, hosted by Apple iCloud. These email providers process messages to deliver and store them. We may disclose information where required by law or necessary to investigate misuse or protect rights. We do not sell your account or scent-profile information.

Retailer links and affiliate services

Retailer and social links take you to independently operated websites with their own privacy practices. We do not take payments or receive your card details. Affiliate tracking links are not currently active on this website.

If affiliate links are introduced, we will identify them and update this notice before enabling any new tracking. Such links can allow the retailer and affiliate network to associate a referral with a purchase. Your private wardrobe, diary and account email will not be included in those links.

How long information is kept

Account and collection records remain while your account exists unless you delete the relevant information or account. This pilot currently uses a test database scheduled to expire on 12 October 2026, so long-term storage is not guaranteed.

Login authorisation lasts up to 30 days. Expired session records can remain until account or database deletion. Browser preferences remain until cleared or replaced; optional video choices expire after 180 days. Deleting an account removes its linked records from the live application database.

Email correspondence is retained while needed to handle your enquiry and any related dispute or legal obligation. Hosting logs, provider copies and backups follow the relevant provider’s retention processes and may not disappear immediately when live records are deleted. International processing and security

Some service providers operate internationally. Where applicable, international processing is covered by the provider’s contractual transfer arrangements; Render describes these in its data-processing terms. Contact us for information about the arrangements relevant to your data.

We use HTTPS, hashed passwords and recovery credentials, and account access controls. No internet service can guarantee complete security. Keep your password and recovery code private and report suspected account misuse promptly.

Your rights and choices

You can download your account data and delete your account through My account. You can also edit preferences and remove your own diary entries or reviews. To ask about access, correction, erasure, restriction, portability or objection, email contact@myscentwardrobe.com. Rights depend on applicable law and the circumstances.

Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing. We may need to verify that a request comes from the account holder. We aim to respond to rights requests within one month; lawful extensions may apply, which we will explain.

You may complain to the UK Information Commissioner’s Office or your local data-protection authority. You do not need to contact us first.

Children and changes

The service is not designed for children and we do not knowingly seek children’s personal information. If you believe a child has supplied personal information, contact us so we can investigate and take appropriate action.

We will update this notice when our practices change and show the revision date. Material new uses of information will be explained before they begin, with consent requested where required.
